Document Scanning
Documents scanned through a scanner are then saved to a central location, that can be accessed by the document management software. In our small enterprise document management solution the system is capable of scanning up to 1000 pages per day. The Software then queues the files that are ready for indexing.
Document Indexing
Once scanned, documents are then indexed by an operator. Indexing fields can be customized e.g. First Name, Last Name, DOB, Post Code etc. The document is automatically removed from the queue once the enter key is pressed after filling all the indexing fields and the next file automatically gets selected to be indexed.
Our software is also capable enough to do this indexing for you automatically which can further save the 80% of time. It is as simple as you define the zones in an image once and next time when ever the same type of image appears, the software will automatically read the indexing information from defined zones and index it for you. This zone indexing is very helpfull when scanning forms, invoices, bills etc.
Searching
Once a document is indexed in the system, you click on the search button on top and start typing your required information in the fields provided. These searching fields are same as the indexing fields, and files can be searched by any of the indexing fields. Type a search word and press enter, the document will appear in front of you in NO TIME!
